Requirements for a Schengen Visa

By Ministerial Decree of May 8th, 1989 the consular resorts of the Embassy at New Delhi and the Consulate General at Mumbai has been appointed. Persons living or travelling in India can address the Royal Netherlands Embassy in New Delhi or the Consulate-General in Mumbai, depending on the resort jurisdiction. REQUIREMENTS FOR A SCHENGEN VISA

Member countries:
Austria, Belgium, Denmark, Finland, France, Germany, Greece, Iceland, Italy, Luxembourg, The Netherlands, Norway, Portugal, Spain and Sweden.

  1. Indian nationals, travelling to any of the above mentioned countries on business, for tourism or other reasons, may apply for a Schengen visa for a stay of up to 90 days valid for all the above mentioned countries. Visas for a period of maximum 90 days continuous within 180 days are called short term visas.
  2. Visas for a period of longer than 90 days continuous are called visas for temporary stay (MVV). The requirements for MVV visas are subject to the national law of the country of destination. Information regarding MVV visas can be obtained through the Immigration and Naturalisation Service in the Netherlands (Externe link www.ind.nl).
  3. Applicants should obtain the visa at the embassy or consulate of the Schengen country, which is the main destination (e.g. the country where the intended stay is longest) of their journey. If the main destination cannot be ascertained, the application should be made with the representation of the Schengen country which is entered first.
  4. In case the applicant wants to travel to a non-Schengen country after the stay in the Schengen territory, the visa for this onward destination should be applied for first.
  5. The purpose of a proposed visit may not be altered once the visa has been issued.
  6. No visa will be issued on additional pages of a passport.
  7. Minors (< 18 yrs) require a written consent of the parents containing the signatures of both parents. The application form should also contain signatures of both parents. A copy of the parents’ passports should be included.
  8. There is no legal right to a visa. A visa is not a guarantee to access to the Schengen territory. The final authorisation remains within the competence of the immigration officer at the border. It is advised to bring copies of invitation letters and proof of sufficient financial means, when travelling.
  9. Payment of visa handling fees:
    At the embassy in New Delhi: only by demand-draft in favour of the Royal Netherlands embassy, New Delhi.
    At the consulate general in Mumbai: cash only.
    The current fee for a Schengen visa (subject to exchange rate) is INR 3230.--(three thousand two hundred and thirty Indian Rupees). When calling the appointment line, the actual fee should be verified.
  10. In principle all applicants have to apply in person.
    Exception to this rule is made for frequent travellers to the Schengen territory. A frequent
    traveller is a person who has obtained a Schengen visa at least 3 times in the last 2 years and has used this
    in an appropriate way (i.e. not overstayed).

In general the outcome of the visa request will be given the next working day, but only if a complete file was presented. In case extra checking is required, the embassy/consulate general has to forward the visa application to the competent authorities in the Netherlands for a final decision. In this case the decision is expected in 7 working days for business visa and upto two months for tourist visa.

 
I. BUSINESS VISAS

A. Frequent travellers

Travellers who have visited the Schengen countries three times or more during the past two years are not required to apply in person. The following limited number of supporting documents should be submitted:

  • A completed visa application form, duly signed by the applicant 
  • Two passport photos (with good resemblance).
  • A passport valid for at least 3 months beyond the intended stay and with at least one blank page to affix the visa.
  • A copy of the overseas medical health insurance including medical emergency evacuation, corresponding with the desired validity of the visa.
  • A confirmed airline reservation.
  • A demand draft in favour of Royal Netherlands embassy, New Delhi (fee to be verified when making the appointment to apply for the visa).

If desired a frequent traveller can request a multiple entry visa for a longer period (maximum 2 years), the overseas medical health insurance should cover the desired period in this case.

B. Non-frequent travellers

Travellers who have visited the Schengen countries less than three times during the past two years are required to apply in person.  The abovementioned documents added with the following documents should be submitted:

A covering letter from the Indian organisation or company of the applicant, containing the following information:

  • Name and designation of the applicant and that of the signatory (of managerial or executive level);
  • An outline of the applicant’s itinerary, the purpose of his/her visits, names and addresses of the companies he /she intends to visit.

An invitation letter from the Dutch company or organisation containing the following information:

  • Name of the applicant invited;
  • Dates of the intended stay;
  • Purpose of the visit;
  • Nature of costs being covered (board & lodging).

In case of first visit, business correspondence with the concerned Dutch company is required.

Evidence of source of financial support such as:

  • Foreign exchange (endorsed in the passport); 
  • A copy of an international credit card. 
  • In case of applicant being the proprietor/owner of the business, documents related to the financial standing of the company may be required, for instance proof of paid income-tax, company memorandum, partnership deed, establishment licence or proprietorship, bank statements, etc. 
  • Proof of applicant’s status in the company.

II. TOURIST VISAS

A. Frequent travellers

Travellers who have visited the Schengen countries three times or more during the past two years are not required to apply in person. The following limited number of supporting documents should be submitted:

  • A completed visa application form, duly signed by the applicant 
  • Two passport photos (with good resemblance) 
  • A passport valid for at least three months beyond the intended stay and with at least one blank page to
    affix the visa. 
  • A copy of the overseas medical health insurance including medical emergency evacuation, corresponding with the desired validity of the visa. 
  • A confirmed airline reservation. 
  • A demand draft in favour of the Royal Netherlands embassy. 
  • A covering letter from the applicant, introducing himself/herself, explaining the purpose and duration of the visit and the itinerary for the corresponding period in brief. 
  • If the visit is sponsored by a guarantor/referent in The Netherlands, the guarantor/referent is required to provide the applicant with an sponsorship letter (not older than 6 months) issued or legalised by the municipality. The sponsorship letter should contain the following information: the applicant’s name, address, relationship with the guarantor/referent, duration of stay with the guarantor/referent and the nature of costs being sponsored.


B. Non-frequent travellers

Travellers who have visited the Schengen countries less than three times during the past two years are required to apply in person.  The abovementioned documents added with the following documents should be submitted:

  • Proof of employment and leave letter on company’s letterhead. 
  • If the visit is sponsored by a guarantor/referent in The Netherlands, the guarantor/referent is required to
    provide the applicant with:
    1. A sponsorship letter (not older than 6 months) issued or legalised by the municipality. The sponsorship letter should contain the following information: the applicant’s name, address, relationship with the guarantor/referent, duration of stay with the guarantor/referent and the nature of costs being sponsored.  
    2.  A copy of the passport (in case of a Dutch guarantor/referent) or a copy of the residence permit
       (in case of a non-Dutch guarantor/referent).
    3. Financial proof of the guarantor/referent, such as copy of salary slips of the last 3 months or bank statements of the last 3 months.

III. TRANSIT VISAS

A traveller who has a long transit period between connecting flights or has no immediate connecting flight is required to have a transit visa. Travellers who travel on a subject-to-load ticket are also required to obtain a transit visa. Personal appearance is required at time of application. The following documents should be submitted with the application:

  • A completed visa application form, duly signed by the applicant 
  • Two passport photos (with good resemblance). 
  • A passport valid for at least 3 months beyond the intended stay and with at least one blank page to
    affix the visa. 
  • A confirmed airline reservation. 
  • A demand draft in favour of the Royal Netherlands embassy. 
  • A valid visa for the country of destination. 
  • Proof of foreign exchange. 
  • An onward journey ticket. 
  • A hotel reservation in case of an overnight stop.

IV. TRANSIT VISAS FOR SEAMEN

Transit visas for seaman are issued for those intending to travel to join their ship. Personal appearance is required. The following documents should be submitted with the application:

  • A completed visa application form, duly signed by the applicant 
  • Two passport photos (with good resemblance). 
  • A passport valid for at least 3 months beyond the intended stay and with at least one blank page to
    affix the visa. 
  • A confirmed airline reservation. 
  • A demand draft in favour of the Royal Netherlands ee. 
  • A covering letter from the Indian recruiting company mentioning the applicant’s name and rank,
    vessel’s name and arrival date at the port in The Netherlands, date of joining the vessel,
    the name and address of the handling agents in The Netherlands. 
  • A copy of the contract/appointment letter. 
  • A confirmation by letter/fax from the agent in The Netherlands. 
  • Photocopies of all the filled out pages of all the CDCs (Continuous Discharge Certificate).

 

V. AIRPORT TRANSIT VISAS

An Airport Transit visa is not required for Indian Passport holders. For other nationals who require an airport transit visa, the following documents should be submitted:

  • A valid visa for the country of destination (a photocopy of the visa should be attached). 
  • A confirmed ticket for the onward destination.

An airport transit visa entitles the holder to enter the international transit area of the airport but not the territory of The Netherlands.


Please note that this list of requirements is not final. In individual cases additional documents may be requested.
 

APPOINTMENTS FOR VISA IN NEW DELHI:

There are two ways to apply for a short term visa:

I. Through VFS:

Applicants for a short term visa or their intermediary (this could be a travel agent) can submit their applications at the VFS visa application centre located at the International Trade Tower, Nehru Place, New Delhi.

An appointment can be made by calling the VFS visa application centre at 011-42220332 between 0800 hours to 1600 hours, Monday to Friday. Applicants can also take an appointment on-line by logging on to Externe link www.vfs-nl-in.com.

II. Through the Embassy:

Applicants for a short term visa who want to submit directly to the Embassy can call VFS in order to make an appointment. The applicant submits the file at the alloted time at the visa counter of the Netherlands Embassy.

Applicants for a long term residence visa (MVV) and applicants for a visa for the Netherlands Antilles or Aruba also make an appointment by calling VFS (011-42220332). VFS will arrange a direct appointment to come to the Embassy.

NFP (Netherlands Fellowship Program) candidates should contact the NFP officer at the Embassy who will coordinate an appointment with the visa section.
